Booking appointments through ChatGPT: how it works

A client tells ChatGPT "book me a haircut on Thursday" and the appointment lands in the calendar. How it works, what the assistant sees, and how a business joins.

What it actually is

Booking through ChatGPT is one more booking channel for a business, beside the booking site and the phone. The client writes to the assistant in plain language — "book me a haircut with Danny on Thursday afternoon" — and the assistant does what the client would have done on the booking site: checks which times are free, offers, and after a confirmation books. The appointment lands in the business's calendar like any other.

What makes this possible is ChatGPT opening up to third-party apps: a system like Torly connects to it through an open standard called MCP, which defines how an AI assistant asks an external system questions ("which times are free?") and requests actions from it ("book this appointment"). OpenAI's Apps SDK is built on the same standard. The assistant does not "learn" your business and does not guess: it asks the system and gets an exact answer from the calendar.

How it works, step by step

  1. The client connects Torly to ChatGPT once. Through the link the business shares (or the button on the booking site), the client reaches a Torly page, identifies themselves and approves. From that moment their ChatGPT can talk to Torly.
  2. The client asks. "I want an appointment for colour and a cut next week, preferably in the morning." The assistant understands the services and the preference.
  3. The assistant asks Torly. It receives the business card (hours, services, team, rules) and the free times that fit the services' total duration. If several team members qualify, it asks the client which one, or offers the one the client saw last time.
  4. The client chooses and confirms. The assistant shows the details — date, time, service, team member, price (if the business shows prices) — and waits for a "yes".
  5. The appointment is booked. It lands in the calendar, the client receives the business's ordinary confirmation (SMS or WhatsApp, as configured), and the business gets its usual new-booking notification.

The assistant can also show the client their appointments, cancel one and move one, all subject to the cancellation window the business set. Once the appointment is booked, the business's reminders go out as usual; the assistant may offer the client a reminder of its own, but the business's does not depend on it.

The rule is simple: the assistant sees what a client sees on the booking site, plus its own appointments. When the time it asked for is already taken, it gets "taken" and three alternatives — not the name of whoever took it.

Who the client is: the connection on Torly's page

The sensitive point in any AI channel is identity. If the assistant asked "what is your name and phone number?" and filled in a form, anyone could book appointments in anyone's name. So the identification does not happen in the chat at all. The client goes to a Torly page and identifies themselves there — with a Google or Apple account, a password, or a one-time code by e-mail — and approves the assistant acting on their behalf. The name and phone the business receives are the ones on the linked account.

The connection is the client's, not the business's: it is made once and serves every business the client books with through ChatGPT. The client can choose "remember me" or a one-time connection, see their connections, disconnect them and delete their data, all on Torly's page.

What it means for the business

For the calendar, nothing changes. An appointment booked through ChatGPT respects the opening hours, the breaks and days off, the minimum notice, the buffer between appointments and the assignment of team members to services. A client you blocked cannot book through the assistant either. The plan's appointment quota is counted as usual. Reminders, notifications and the client card work as for any appointment.

What does change is that there is one more way in. In the booking site settings the business sees the channel's switch, a link to an explainer page for clients with a QR code, and a counter of the appointments booked through ChatGPT this month and in all. In the reports, "appointments by channel" shows how many came from the booking site, how many by phone and how many through the assistant.

All three channels write to the same calendar and are checked against the same rules. The only difference is where the client comes from.

What it does not do

  • It takes no payment. There is no payment inside the conversation. A business in Israel that requires full payment in advance for an appointment is shown to the assistant as "book on the booking site", and the client gets the link.
  • It does not replace the booking site. The site stays the main page: the full prices, the pictures, the punch cards, the documents. The assistant is one more door to it.
  • It is not open to health businesses. Clinics and medical treatments are not in the channel at this stage.
  • It does not recommend your business to strangers. The client reaches you through your link, or from their own history ("book me with my barber"). It is a service channel for existing clients and for whoever received the link, not an advertising channel.
  • It never books without a confirmation. The assistant always shows the details and waits for a "yes" before it writes to the calendar.

How to start

  1. Check whether the channel is open to your business. In the settings, under the booking site tab, the switch appears when the channel is open. It opens gradually; if you do not see it, write to us.
  2. Turn the switch on. From that moment a "book through ChatGPT" button appears on the booking site, and the explainer page for clients is live.
  3. Share the link. On WhatsApp to your regulars, in your Instagram bio, as a QR code at the counter. The sentence: "you can also book with us through ChatGPT".
  4. Watch the counter. After a month you will see how many appointments came from there, and in the reports how the channel compares with the others.

Does the client need a special app?

No. They use the ChatGPT they already have, connect Torly to it once through the link the business shares, and from then on ask for appointments in an ordinary conversation.

What does the assistant know about my business?

What the booking site shows too: the public name, address and phone, opening hours, the services and their prices (unless you hide prices), the team and the free times. Not internal notes, not other clients, not revenue.

Can the assistant cancel or move an appointment?

Yes — only the linked client's own, and only inside the cancellation window the business set. An appointment cancelled through ChatGPT behaves like any cancellation: the slot opens, the waitlist gets it, and the business is notified.

Who is responsible if the assistant gets it wrong?

The appointment is the client's, and the assistant's actions count as theirs. The assistant shows the details for confirmation before it books, and the client receives the business's ordinary confirmation, with a link to cancel.

Does it suit every business?

Not at this stage. Health businesses are not in the channel, and it is opening to businesses gradually. When the channel is open to your business, the switch appears in the booking site settings.

Which language does the assistant use with the client?

The client's. ChatGPT answers in the language of the conversation, and the details it receives from Torly (times, services, messages) arrive in the language the client is using, out of the languages the system supports.
