A digital punch card in Torly is a card of treatments or visits that a business sells to a customer in advance, managed inside the appointment calendar. Every appointment booked for the customer takes one visit automatically, a cancelled appointment gives it back, and the balance is visible to both the business and the customer. Torly, an appointment scheduling and management system for small businesses, supports two kinds: a punch card of 1 to 200 visits, with an optional validity of 1 to 24 months, and an unlimited monthly membership, valid for one month from the day it is bought.

A paper card or a separate punch-card app means remembering to punch. Here the punch is part of booking the appointment itself, and the system knows the moment it is booked whether it is covered. A punch card can be 10 haircuts, 6 laser treatments or 12 personal training sessions. A monthly membership can be unlimited haircuts or unlimited car washes.

Punch card (a fixed number of visits)

For customers who come for a series, such as 10 haircuts, 6 laser treatments or 12 training sessions.

  • Validity: until the visits run out, or X months from the day it is bought (1 to 24).

    Create a membership in the catalogue

    A new product of type "membership": punch card or monthly, how many visits, validity, which services and a price. Two switches: "Sell and renew on the booking site" and "Show on the booking site to buy".

    Sell

    From the customer card (cash, card on another terminal, on account or as a gift), at checkout after an appointment, or the customer buys it themselves on the booking site.

    Book appointments

    In the calendar, the membership is already ticked when you pick the customer. On the booking site, a signed-in customer's appointment is covered on its own. The visit is taken the moment it is booked.

    Renew

    When the card runs out or expires, the customer renews and pays on the site while booking the next appointment, or buys again from you.

What happens to the punch card when you book, move or cancel an appointment?

The card follows the appointments, not anyone's memory.

Booking

The visit is taken the moment the appointment is booked. The appointment is marked "covered by a membership", its price is 0 and the regular price is kept aside. That way your reports count the sale of the card and do not count every appointment a second time.

Moving

The visit moves with the appointment. If the new date is after the validity ends, the system says so before you move it.

Cancelling

The visit comes back on its own, wherever the appointment was cancelled: in the calendar, through the customer's cancellation link, or when you cancel every appointment for a vacation.

No-show or last-minute cancellation

You decide whether the visit comes back or stays used.

Appointments from other channels

The customer signs in to your booking site (with Google, Apple or email), and from then on the system knows them by their account, not by a phone number someone typed.

Buy without booking

A "Memberships & punch cards" area on the site shows what you chose to show. The customer sees exactly what they are buying and until when, and pays by card. Under "My memberships" they see what is left.

Payment on the site goes through the business's payment account in Torly (Z-Credit, available in Israel today), and the money goes to you. If you issue documents automatically, the customer gets one from the payment provider. Without a payment account, appointments are booked as usual and you sell at the counter.

Frequently asked questions about punch cards and memberships

How does a digital punch card work in Torly?

You create a product of type "membership" in the catalogue and sell it to a customer. From then on, every appointment booked for the customer takes one visit, and a cancelled appointment gives it back. The balance is on the customer card, and every change is recorded in the history. A punch card can have 1 to 200 visits.

What is the difference between a punch card and a monthly membership?

A punch card is a fixed number of visits, such as 10 haircuts, with a validity if you want one. A monthly membership is unlimited and valid for one month from the day it is bought. On a punch card every appointment takes a visit. On a monthly membership every appointment is counted and nothing is taken off.

When is a visit taken off the punch card?

The moment the appointment is booked, not when it ends. That way the system knows at once whether the appointment is covered, and the customer sees how much will be left after it. If the appointment is cancelled, the visit comes back.

What happens when a customer cancels an appointment?

The visit comes back to the card on its own, whether the appointment was cancelled in the calendar, through the customer's cancellation link or when every appointment was cancelled for a vacation. When a customer did not show up or cancelled at the last minute, you choose with the cancellation whether to give the visit back or keep it used.

Can a punch card have a validity limit?

Yes. When you define the card you choose "valid for X months from the day it is bought", from 1 to 24, or no limit until the visits run out. What counts is the appointment's date, not the day it was booked. Visits not used by the end of the validity expire, and you can extend the validity by hand for a particular customer.

What happens when the card runs out and the customer books on the site?

A signed-in customer whose card is used up or expired sees a renewal offer at the current price, with the date it is valid until. They pay by card, and the appointment they booked is the first visit on the new card. If they do not pay within 30 minutes, the time is released.

How does a customer buy a punch card on the booking site without booking?

The booking site shows a "Memberships & punch cards" area with the memberships you chose to show. The customer signs in, sees what they are buying and until when, and pays by card. The membership is created right after the payment, and you get a "Membership sold online" notification.

Does the customer need to download an app?

No. Everything happens on the business's booking site, and the customer signs in with Google, Apple or email. Under "My memberships" they see how much is left and until when.

Can I sell a punch card for cash or on account?

Yes. From the customer card you sell for cash, by card on another terminal, on account (the amount is recorded as the customer's debt) or as a gift, and you can give a discount. At checkout you add the membership to the cart like any product.

Can I choose which services the punch card covers?

Yes: all services, or only the ones you pick. An appointment with several services is covered only if all of them are on the card.

A customer has both a monthly membership and a punch card. Which does the system use?

The monthly membership first, because it takes no visits. Then the punch card whose validity ends first, and after that the one with the fewest visits left.

How do I move existing paper punch cards to Torly?

From the customer card, sell them the punch card with its original start date (up to 60 days back), and update how many visits were already used. From there everything continues automatically.

Do appointments from the AI phone agent or ChatGPT take a visit?

Not on their own. Appointments booked in the calendar or on the booking site are covered automatically, and so is a recurring series booked with "Use a membership for the series" ticked. Appointments from the AI phone agent, from ChatGPT or from the waitlist are covered with one click, "Use membership", at checkout.

Where do I see whose punch card is about to run out?

In the "Memberships" area of the dashboard, under the "Ending soon" filter: memberships whose validity ends within 7 days or that have 2 visits or fewer left. That is the time to contact the customer and offer a renewal.

What about a refund when a customer cancels a punch card?

You cancel the membership in the dashboard, and the refund is done on your side, through the payment provider or in cash. Torly does not refund money automatically. A membership that covers a future appointment can be cancelled only after you cancel that appointment or remove the membership from it at checkout.

Does the monthly membership renew with an automatic charge every month?

No. The membership is valid for one month from the day it is bought. When it ends, the customer renews and pays on the site while booking the next appointment, or buys again from you. A renewal starts the day after the previous one ends, so no days are lost.

How much does it cost?

Membership and punch card management is included in the Torly plans that include the feature, and the plans are on the pricing page. Selling and taking payment on the site also need card payments and a connected payment account.

Does it work in other languages and outside Israel?

The booking site and the dashboard work in six languages: Hebrew, Arabic, English, Russian, Georgian and Turkish. Management, punching and selling at the counter work everywhere. Selling and taking payment on the site are available to businesses in Israel for now.
