Google Calendar for a business: why it is not enough for appointments

Google Calendar is a board, not an appointment system: no clients, no client reminders, no cancellation policy, no waitlist. How to use it beside a system.

What Google Calendar does well

Google Calendar is an excellent tool for what it was built for: seeing your day. It is on the phone, the watch and the computer, it reminds you before a meeting, it shares calendars between people, and every event you wrote in it appears everywhere. Sharing the calendar with a partner or a colleague takes a minute, and an appointment schedule gives people a page to book a meeting on.

For an appointment business it is a natural starting point. A new business owner writes "Ronit, colour, 14:00" in the calendar and calls the day before to remind. That works until it stops working, and that happens fast.

The important row is the second: the reminder. An event in your calendar reminds you. The client, who is not invited to the event and may not use Google at all, gets nothing. And a client without a reminder is the first cause of cancellations.

How to use both without running two calendars

The solution is not to give up Google Calendar. It stays the board you look at: life, the family, the meetings. The solution is to set the rule of one direction:

  1. Appointments are booked in the system. On the booking site, by phone, in the system's calendar. Not in Google Calendar.
  2. The system writes every appointment to Google Calendar. As an event with the client's name, the service and the time. An appointment moved or cancelled in the system is updated in the calendar.
  3. In the calendar you only look, and manage what is not an appointment. A private meeting, the dentist, the child's birthday. That stays in the calendar and does not touch the system.
  4. When you are not free for work, mark it in the system. A break, a day off, different opening hours. That is what the booking site respects.
  5. Never move an appointment in the calendar. The system does not read from the calendar; the client will not know about the new time, and the old slot stays taken.

So there is one board to look at and one system to work in, and the two do not quarrel.

What happens when it is done the other way round

Three mistakes that recur in businesses combining a calendar and a system:

  • Moving an appointment in the calendar. The client gets a reminder for the old time and comes at it. In the system the old time is taken, the new one is free, and someone else books it. Two clients at one hour.
  • Writing a new appointment in the calendar. The client does not exist in the system, gets no confirmation and no reminder, and is not counted in the reports. After a month there is no telling how many appointments there really were.
  • Relying on a private event to block the booking site. It does not. The site offers the time, a client books it, and you are in another meeting.

The fix for all three is the same rule: one direction, from the system to the calendar.

When Google Calendar alone is enough

Honestly: some businesses are fine with the calendar. Whoever takes up to ten appointments a week, knows every client by name, calls to remind and copes with cancellations can carry on. Scheduling software comes into the picture when one of those things stops being true: more appointments, more cancellations, more than one person, or clients who want to book by themselves. Can I run an appointment business with Google Calendar alone?

At the start, with few clients, yes: you write the appointment by hand and call to remind. Once there are more than ten appointments a week, cancellations, or a client who wants to book by themselves at night, the calendar alone becomes work. It is a board, not a system.

What about Google's appointment schedules?

Google offers a page where people book a meeting in your calendar. It is good for consultations, and less so for a service business: there is no client card, no services with duration and price, no team members, no SMS or WhatsApp reminders, no cancellation policy, no prepayment and no waitlist.

How do I see the appointments in Google Calendar?

You connect the calendar to the scheduling system, and it writes every appointment as an event: the client's name, the service, the time. An appointment moved or cancelled in the system is updated in the calendar. So your personal board, on the phone and the watch, shows work too.

If I move an appointment in Google Calendar, does it move in the system?

No. The system writes to the calendar, and does not read from it. A change you made in the calendar does not reach the system: the client will not get a reminder for the new time, and the old slot stays taken. You move appointments in the system, always.

Does a private event in Google Calendar block a time on the booking site?

No. The booking site offers times by the opening hours, breaks and days off you set in the system, and by the appointments in it. A private meeting you wrote in the calendar does not count. If you are not free, mark a break or a day off in the system.

What about team members' calendars?

Every team member can connect their own calendar, and their appointments are written to it. Ronit's appointment in Ronit's calendar, Dana's in Dana's, and the business calendar sees them all in the system.
